Quick answer: A Hamilton County mechanics lien is a sworn lien affidavit filed with the Hamilton County Recorder at 138 East Court Street in Cincinnati, where the recording desk closes at 3:30 p.m. and e-filings after 3:30 roll to the next business day. It’s due 75 days after last work (60 on a one- or two-family home). See the full Ohio deadlines and statutes.
Where Hamilton County liens are filed
Hamilton County lien affidavits are filed with the Hamilton County Recorder’s Office in the County Administration Building, 138 East Court Street, Cincinnati. The office is open 7:30 a.m. to 4:00 p.m. on weekdays, but the recording desk closes at 3:30 p.m.
The Recorder accepts e-recording through Simplifile and Hopdox, and through CSC starting May 18, 2026. E-filed documents are processed from 8:30 a.m. to 3:30 p.m. Eastern, and anything received after 3:30 is processed the next business day. On the last day of a 75-day window, a 3:45 submission is a day late, so we file early.
Finding the legal owner and legal description in Hamilton County
The Hamilton County Auditor’s property search gives us the owner of record, parcel number and tax details for the job address. The Recorder’s online land records search then gives us the owner’s vesting deed for the legal description, and shows whether a Notice of Commencement was recorded for the job.
That Notice of Commencement decides whether subs and suppliers needed a 21-day Notice of Furnishing, and it names the designee who gets the copy of the lien. If you never saw one, we look for it before setting your deadline.
Cities we file in across Hamilton County
More than 800,000 people live in Hamilton County’s 49 jurisdictions. Its 17 cities are Cincinnati, Blue Ash, Cheviot, Deer Park, Forest Park, Harrison, Indian Hill, Loveland, Madeira, Montgomery, Mt. Healthy, North College Hill, Norwood, Reading, Sharonville, Springdale and Wyoming. It also has 19 villages, including Evendale, Glendale, Mariemont, Terrace Park and St. Bernard, and 12 townships: Anderson, Colerain, Columbia, Crosby, Delhi, Green, Harrison, Miami, Springfield, Sycamore, Symmes and Whitewater.
Cincinnati-area jobs cross lines constantly. Milford takes part in county programs through Clermont County, West Chester is in Butler County, and Covington and Newport are across the river in Kentucky, where a lien is recorded under Kentucky law with that county’s clerk. We confirm the county and state from the parcel first.
Hamilton work ranges from hospital, university and downtown projects to industrial work in the Mill Creek valley and subdivisions in the western townships. On the public side, ODOT is rebuilding the Linn Street bridge over I-75 as part of the Brent Spence Bridge Corridor, a $46.7 million contract held by Great Lakes Construction, with the street reopening in fall 2027 and all work done in late spring 2029. Public work can’t be liened in Ohio.
What sinks liens in Hamilton County
- Missing the 3:30 cutoff. Both the recording desk and e-recording processing stop at 3:30 p.m.; later filings are the next business day.
- A township job filed under the wrong name. Anderson, Colerain and Green townships are unincorporated. The affidavit still goes to the county Recorder, with the right legal description.
- A Kentucky or Butler County parcel. Across the river or up I-75, the job may not be in Hamilton County or even in Ohio.
- A supplier’s late Notice of Furnishing. On commercial jobs with a recorded Notice of Commencement, suppliers to subs have 21 days after first delivery.
- Serving the owner late. A copy of the affidavit has to be served within 30 days after filing. See the Ohio deadline table.
How LevelSet handles a Hamilton County lien
- Intake. You tell us the job address, who hired you, what you’re owed, your first and last work or delivery dates, and any Notice of Furnishing you sent.
- Statutory form. We pull the owner from the Hamilton County Auditor, the deed and any Notice of Commencement from the Recorder, and prepare the sworn Ohio lien affidavit.
- Notarization. Matt Rush, as agent for the claimant, makes and signs the affidavit before a notary.
- Recording. We e-file it with the Hamilton County Recorder before the 3:30 p.m. processing cutoff.
- Service. The owner or designee gets a copy within 30 days after filing, and we send one to the general contractor.
Example: a Hamilton County deadline walk-through
Example: A lighting supplier sells fixtures to the electrical sub on a Norwood medical office where a Notice of Commencement was recorded. Its first delivery is March 9, so its Notice of Furnishing was due March 30 (21 days). Its last delivery is June 26, so the lien affidavit has to be filed with the Hamilton County Recorder by September 9 (75 days), before 3:30 p.m., and served within 30 days after filing.
